This role requires someone who is welcoming and a willing point of contact for any Front of House support related requests. In addition they are must ensure that all operations run smoothly on a day to day basis and maintain the Reception area to the highest standard.
•Welcome Host service to provide an outstanding level of customer service to clients and customers that meets or exceeds their expectations including;
◦Advising as soon as guests arrive and escorting internal ABF guests to the hot desking areas and/or meeting rooms
◦Taking ownership of the guest experience, performing audits and checks daily to ensure and provide efficient and pleasant operation of the switchboard and reception area including the greeting and signing in of visitors and where necessary advise other locations on switchboard operation.
◦Providing pre and in-meeting support including assisting with hospitality requests ensuring consumables are in place prior to the meeting taking place and AV requirements.
◦Booking meeting rooms for other ABF staff that are not based at Maidenhead.
•General administration including;
◦Ensure Pool Vehicle MOT and Services Booked and carried out Ensure Pool Vehicle MOT and Services Booked and carried out. Decision making for Pool Vehicle allocation.
◦Provide and maintain site statistics pertinent to visitors and contractors for H&S Monthly KPI data to submit to ABF.
◦Responsibility for ordering and distribution of stationery including maintaining a minimum stock liaise with Lyreco regarding queries and invoices as well as accountability for the Lyreco Stationery contract.
◦Report any faults in the Reception area or any meeting room to MITIE.
◦Raising SAP purchase orders for Facilities.Run weekly reports to ensure all PO’s are receipted and validate all work jobs against invoices.
Skills & Experience
•PC literate with excellent knowledge of MS Office including Word, Excel, Outlook and PowerPoint is essential
•Strong organization skills with a balanced and confident approach are essential
•Excellent communication skills and the ability to ‘multi-task’ and prioritise workload is essential
•Previous relevant experience in a similar role would be beneficial
