Position:         PA                                       Location:         Belfast

The Role:           

This role encompasses a wide variety of responsibilities across administration, communication and the organisation of meetings and events. You will participate in Senior Management Team meetings and manage agendas and actions.  Along with general admin tasks such as managing travel arrangements, diaries and purchasing you will also be involved in managing the reporting of KPIs such as Health and Safety and liaising with external bodies.   You will support delivering the communication plan to employees.

Key Accountabilities:

  • Effective and proactive meeting, day to day diary management and management for General Manager.
  • General correspondence produced to a high standard.
  • Reports, presentations, scorecards updated.
  • Purchasing via SAP system and issue clock cards to employees.
  • Facilitate effective communications to employees through Notice Boards, Screens and On Line.
  • Coordinate employee social events.  Manage long service awards and Employee Recognition scheme nominations.
  • Support Safety First Programme through monitoring KPIs, Communications and organising meetings and liaise with legal and external bodies.
  • Support and ensure the smooth functioning of the Management Meetings. Ensuring meetings are effectively organised and minuted. Maintaining effective records and administration.
  • Support corporate and social responsibility activity at site. 


Essential Criteria:

  • Experience in a similar PA role ideally in a fast moving commercial organisation with proven capability to handle a complex, busy and changing agenda

  • Advanced Microsoft suite (Outlook, Excel, Powerpoint & Word)

  • Experience of IT systems or ability to learn systems such as SAP & T&A

  • Well developed communication skills

  • Proactive with strong organisational and planning skills – able to prioritise and manage issues.

  • Ability to build working relationships witha broad range of people and maintain confidentiality
